Privacy policy
MeetHola provides AI-powered growth systems (reviews, referrals, patient reactivation, lead nurture, and AI calling) to healthcare clinics in the UAE and Australia. This policy explains how we handle data both as a business (for our website visitors) and as a data processor acting on behalf of our clinic clients.

Data we collect directly
When you use our website or contact us directly, we may collect:
- Your name, practice name, email address, phone number, and any details you submit through our contact or booking forms.
- Communications you send us by email, phone, or messaging.
- Basic analytics and cookie data to understand how visitors use the site and improve it.
Data we process for clinics
As a data processor, we handle patient and customer contact data on behalf of our clinic clients. This may include names, phone numbers, email addresses, appointment history, and treatment history. We process this data strictly on documented instructions from the clinic, which remains the data controller. We do not use clinic patient data for our own purposes.
How we use data
We use data to:
- Deliver, maintain, and improve our services.
- Run consent-based patient communications on behalf of our clinic clients.
- Respond to enquiries, provide support, and manage our relationship with you.
- Meet legal, regulatory, and security obligations.
Consent
Patient messaging is consent-first. Clinics are responsible for obtaining valid consent from their patients before we send any communication. We send only to consented contacts, and we honour opt-out requests immediately. A patient can opt out at any time by following the instructions in the message, for example by replying "STOP".
Sub-processors & tools
We use carefully selected service providers to run our systems, including:
- GoHighLevel for CRM, automation, and patient communication infrastructure. Their servers are in the US and EU.
- Meta and WhatsApp Business for messaging channels where clinics choose to use them.
- Email and SMS providers for delivery of notifications and marketing communications.
These providers may process data outside your country. We only share the minimum data necessary and require appropriate contractual protections.
International data transfers
Data may be transferred across borders, for example from the UAE or Australia to US or EU servers. We rely on appropriate safeguards, including standard contractual clauses and, where required, explicit consent. We comply with the UAE Personal Data Protection Law (Federal Decree-Law 45 of 2021) and the Australian Privacy Act 1988, including Australian Privacy Principle 8 on cross-border disclosure.
Data security
We use encryption in transit, access controls, and vetted processors to protect data. Access is limited to people who need it to operate or support our services. While no system is completely risk-free, we take reasonable and proportionate measures to keep data secure.
Data retention
We keep data only as long as needed to deliver the service or meet legal obligations. When data is no longer required, we delete or anonymise it. Retention periods for clinic data follow the instructions and needs of each clinic client, subject to applicable law.
Your rights
Depending on your location, you may have rights to access, correct, delete, or object to the processing of your personal data. Patients should contact their clinic first, as the clinic is the data controller for patient information. You may also contact us at privacy@meethola.ai and we will respond within a reasonable timeframe.
Changes to this policy
We may update this policy from time to time. When we do, we will post the revised version here with a new "last updated" date. We encourage you to check this page periodically.
